What this notice covers

This notice covers information you submit through FIGN’s public contact, membership, organization, Pathways, event, and mailing-list forms.

External websites linked from FIGN have their own privacy practices. Review their notices before sending information to them.

Information we collect

The fields change according to the route you select, so you are not asked for the same information in every form.

  • Contact details, such as your name and email address
  • Country, age range, interests, and the message you choose to send
  • Organization details and the type of relationship requested
  • One applicant photo for individual membership applications
  • A parent or guardian’s name, email address, and consent when an applicant is under 18

How we use your information

FIGN uses submitted information to respond to enquiries, review applications, manage member and partner relationships, prevent form abuse, and provide the follow-up you request.

How submissions are handled

Forms are sent through FIGN’s website to a Google Sheets-based workflow used by the FIGN team to route and review requests.

Individual-application photos are stored in the private FIGN Applications folder in Google Drive, with a link recorded alongside the application. They are used for application review and verification, not publication.

Please do not include sensitive information that the form has not asked for. If FIGN needs additional verification, the team will explain what is needed through a private follow-up.

Young people and safeguarding

Applicants under 18 must provide a parent or guardian’s contact details and confirm that the parent or guardian knows about and agrees to the application, including the submitted photo.

Applicant photos are kept with the private application record. FIGN will contact the applicant privately before requesting any additional verification.

Retention and your choices

Information is kept only for as long as needed to review, respond to, and administer the relevant relationship.

You may ask FIGN to access, correct, or delete your information. Email femalesingamingnetwork@gmail.com and describe the request clearly so the team can identify the relevant submission.
